Moving through the hiring process, from new applicant to new hire!
Tribepad is an Applicant Tracking System (ATS) with a Recruitment Dashboard interface. The Summary panel displays active jobs, scheduled interviews, tasks, and urgent actions. The Jobs panel shows all open positions currently recruiting, with a view to access the full job list. Each job displays the Job Owner within the organization, total applications received, new applications, and applications in process. The dashboard includes an upcoming candidate interviews section showing details of scheduled meetings. The contracts section tracks pending offers and accepted positions. A tasks section manages items like candidate feedback and interview arrangements. Direct referrals can be viewed and managed. Onboarding steps track candidate progress from hire to first day. The dashboard layout can be customized using drag and drop functionality.
The Job List page shows requisitions, active roles, unfinished roles, expired roles, upcoming roles, and closed roles. Each active role panel displays location, hiring manager, closing date, and candidate counts at each hiring process stage. Roles can be opened for detailed breakdowns. Navigation allows movement between New Applicants, In-Review, Shortlist, and Interview stages. Candidate lists include hover features showing key details at a glance. A sidebar view displays candidate information without leaving the list view. Sidekick is an AI assistant that provides candidate recommendations. Internal feedback can be viewed, CVs can be downloaded, and questionnaire responses showing screening answers are accessible. Users can switch between candidates within the same application stage.
Candidates can be moved between application stages by selection. Moving a candidate to the Shortlist is done through the interface. From the Shortlist, candidates can be dragged and dropped into the Interview section to initiate scheduling. Interview invitations can be sent with specific times and locations, or candidates can select from available time slots in the Hiring Manager's calendar. Multiple time slot options can be presented to candidates for self-selection. Interview invitations are sent through the system. After successful interviews, candidates can be moved to the hired stage.

How Sidekick can speed things up
This demo shows how to create a new job advert in Tribepad and explores tools available during the job creation process.
Starting from the main dashboard, navigate to the Job List to begin creating a new role. Tribepad supports job requisition workflows with configurable permissions for hiring managers at different stages of the hiring process, though the demo skips directly to job creation.
New jobs can be created by selecting an existing template from a dropdown menu, with filtering options available. The demo uses a pre-existing HR Coordinator template. During setup, users can choose to enable Sidekick, Tribepad's AI-assisted feature, for the role.
Most job details are pre-populated from the selected template but can be edited. Fields include job title, unique reference number, number of positions, category, hours, contract type, and salary. Sidekick can suggest an appropriate salary for the role. Additional fields cover working location, region, business unit, cost centres, hiring manager, stakeholders, and associated workflows. Users can also configure onboarding options, interview and feedback workflows, and application anonymity settings. Anonymity is described as a feature used to reduce unconscious bias in hiring. Job advertising dates are set at this stage, with an evergreen option available for roles hired year-round.
For the job description, templated roles come with a pre-written description ready for editing. Multimedia content such as video can be added to job adverts. Sidekick can generate an AI-drafted job description as a starting point, with the option to generate multiple versions and cycle between them. A gender bias word indicator flags language in job descriptions that may reflect unconscious bias. Sidekick can also generate a list of relevant skills for the role, which can then be edited by removing, adding, or adjusting priority levels.
Once all sections are complete, the job is published and ready to share.

Onboarding journeys and workflows
How to Offer and Onboard a New Hire in Tribepad. This demo walks through offering and onboarding a new HR Coordinator, from the recruiter view and the candidate view. Onboarding processes differ by company, and Tribepad supports a tailored approach; the workflow shown is a simple example.
Offer stage: From the Jobs List, the recruiter opens the relevant role and moves the candidate, Tony, into the Offer stage. The recruiter generates an offer and can set an agreed start date and include optional shift patterns if applicable to the role. The recruiter selects any pre-determined offer letter template and checks key candidate information pulled from the candidate profile. The recruiter previews and generates the offer, then sends the offer letter and contract to the candidate.
Candidate side: The candidate logs into his unique candidate area. The offer includes a link or prompt to return to his profile and accept or decline. The candidate sees the offer terms, the offer letter and contracts ready to sign, and accepts the offer.
Recruiter onboarding: Back in the recruiter view, the candidate shows as Accepted and the onboarding workflows show as in progress and pending completion. The onboarding steps and workflows are defined when the role and job description are built. The candidate receives an email alert to start completing onboarding sections.
Onboarding workflow sections: Reference requests: the recruiter sets the number of references required, the type, and the level of detail needed (here, one simple professional reference). The referee receives an automated email with a form, and up to 3 automated chasers can be scheduled while the request is pending. Personalised intro video from a CEO or Head of Department. Health and safety. Integrated right to work checks, which can be placed anywhere in the hiring journey; right to work and DBS checks are handled through Tribepad Checks with TrustID. Photo upload for use on a team profile or internal HR system. Additional details such as next of kin, medical history, educational certificates, occupational health forms, and links to a learning management system, depending on role requirements. Payroll details, which are encrypted immediately and transferred as required.
Completion: The recruiter returns to the admin area, sets line management details, and checks that all onboarding items show green ticks to complete the process.
The demo ends with an option to book time with the Tribepad team, who are matched to the visitor by sector and business type expertise.

How to use quick search
β
Narrowing down with filters
β
Inviting new applications from your CRM
Tribepad Talent Pool allows users to search existing candidate databases and invite candidates to apply for open roles. To begin, navigate to Talent Search from the dashboard. The quickest way to narrow results is by entering skills or keywords. Advanced Search enables searches using multiple phrases or exclusions. Additional filters include custom tags (which teams create to label candidates by skill set or proximity to being hired in previous rounds), questionnaire and form responses from previous application journeys, prior application details such as interview stage reached, required salary, location, experience level and seniority (e.g. manager level), and sector experience (e.g. finance). After filtering, individual candidate profiles can be opened to review full details and a summarised view of key information. From a candidate profile, users can contact the candidate by email using pre-built templates, send a direct invite to apply for a specific role, or submit an application on the candidate's behalf if agreed in advance. The user selects the relevant open role and chooses either Invite or Apply to complete the action.

Candidate screening features
β
Interview prep features
Sidekick is an AI assistant integrated into a job advertising and recruitment platform. When creating a new job advert, users can enable Sidekick for that specific role to unlock a set of AI-assisted features.
The first feature is salary recommendations. While setting job details such as hours, contract type, and salary, Sidekick suggests an appropriate salary range for the role being created.
The second feature is job description generation. Rather than relying solely on templates, users can enter prompts and Sidekick generates a full job description. Multiple drafts can be generated and cycled through until a preferred version is selected.
The third feature is skills suggestions. Sidekick generates a list of relevant skills for the role. Each skill can be assigned a priority rating, and users can delete suggested skills or manually add their own.
The fourth feature is candidate analysis. On roles where Sidekick is enabled, each applicant receives a score. Opening an applicant's profile and selecting the Sidekick Feedback option displays an AI-generated summary of the candidate's application and experience, a breakdown of how they match the skills defined for the role, and an overview of their key strengths and weaknesses relative to the position.
The fifth feature is suggested interview questions. Sidekick generates competency and experience-based interview questions tailored to the specific role being recruited for.
Users can also ask Sidekick direct questions about a specific applicant and follow up with additional questions within the same interface.
